Printer Troubleshooting Steps to Try Before Calling for Help

Printers can be surprisingly frustrating. They work one day, then suddenly disappear from the computer, refuse to print, show offline, or get stuck in a print queue.

Before calling for help, there are a few simple steps you can try.

    Restart the Printer and Computer

This sounds basic, but it often works. Turn the printer off, wait about 30 seconds, then turn it back on. Restart the computer too.

If the printer is connected through Wi-Fi, also consider restarting the router.

    Check the Printer Connection

If the printer is wireless, make sure it is connected to the correct Wi-Fi network. Many homes have multiple networks, guest networks, or old saved Wi-Fi names.

If the printer is connected by USB, make sure the cable is firmly connected and try another USB port if available.

    Check for Error Messages

Look at the printer screen or status lights. Common issues include:

    • Paper jam
    • Low ink or toner
    • No paper
    • Door or tray open
    • Offline status
    • Network disconnected
    • Driver unavailable

The error message helps narrow down the problem.

    Clear the Print Queue

Sometimes a stuck print job blocks everything behind it. On Windows, open the printer queue and cancel old jobs. Then restart the printer and try printing again.

Make Sure the Correct Printer Is Selected

Many computers have old printers, duplicate printer entries, PDF printers, OneNote printers, or disconnected devices listed. Make sure you are printing to the correct active printer.

    Printer Drivers Matter

Printer driver problems are common, especially after Windows updates, new router installs, or replacing a computer.

Sometimes the fix is removing the old printer entry and reinstalling the correct driver or manufacturer software.

    When to Ask for Help

    You may want help if:

    • The printer always says offline
    • The printer disappeared from the computer
    • You changed routers or Wi-Fi names
    • Multiple computers cannot print
    • Scanning does not work
    • The driver installation fails
    • You are not sure whether the printer is worth keeping
